I - Institution Management
🏫 Setting Up
Once your account is created, you must enter the academic year or period by indicating its start date. Once the year is created, it is highly recommended to add your buildings (if needed), then your classrooms, before configuring other elements.
📚 Subject Management
To add a subject, enter its name (e.g., Math), its coefficient (weight), and the grading scale (e.g., /20 or /10).
🏛️ Class Management
To add a class, indicate its name (e.g., Grade 12E) and select the subjects taught there (Math, Biology, etc.).
👨🎓 Student Management
There are three methods to add students:
- Via Form: In the Student tab, click + Add and fill in the fields (required information is marked with an asterisk *). After saving, click the "user" icon to the right of the student's name to find their login credentials to share with them.
- Via Excel File: In the Student tab, click the green Import button and follow the on-screen instructions.
- Via Registration Link: Click Registration Link, name the link, and save. Copy and send this link to future students. Once a student submits the form, you must validate the request in the Pending Registration tab. The "pen" icon (Edit) allows you to review, modify, validate, or reject the request.
👨🏫 Teacher & 👫 Parent Management
To add a teacher or a parent, follow the same procedure as the manual student addition.
🧑🏫 Administrative Team Management
To add a staff member, go to the Administrative Team tab and click + Add Member.
- Permissions: At the bottom of the form, check the boxes in the "Permissions" section. For example, checking "Students" allows the member to manage that section. Unchecked boxes mean no access.
- Credentials: Like with students, click the "user" icon after saving to retrieve their login details.
📆 Schedule Management
Go to the Schedule tab and click + Add.
- Indicate the start and end dates.
- Select the relevant class(es).
- Click + Add Slot to define the day, time, subject, and teacher.
Important Note: Before creating a schedule, you must have already created the class, the subject, and the teacher, and linked them together.
📖 Course Management
Courses appear automatically once the schedule is configured. In the Courses tab, you have an overview: clicking on a course gives you access to the student list, assignments, and educational materials.
🎓 Evaluations & 🗒️ Report Cards
- Creation: In the Evaluation tab, click + New Evaluation. Specify the name (e.g., Term 1), dates, and relevant classes.
- Entering Grades: Once created, teachers can access the evaluation to enter, view, modify, or print grades.
- Prerequisite: It is impossible to enter grades into report cards without first creating an evaluation.
🧾 Accounting Management
This tab displays global financial statistics for the year.
- Initialization: Click + Add Month (e.g., January) to start accounting management for that month.
- How it works: The system automatically retrieves the monthly fees indicated during each student's registration. You can thus track payments month by month.
💬 Messaging
You can engage in discussions with students, teachers, and staff.
- Go to the Messaging tab.
- Click + New Message.
- Select the recipient, write your text, and click Send.
🏢 Updating Institution Information
In the General Information tab, you can view or update your data:
- General info: School name, Director/Manager name, Status (Public, Private, Religious, Secular, Other), and Founding date.
- Contact info: Phone number, Email, Website.
- Location: Country, City, Full address.
- Presentation: Brief description and Digital signature of the Director.
👤 Profile
To change your password or email address, simply go to the Profile tab.
II - Teacher Guide
🔑 Login
Your login credentials (username and password) will be provided directly by your institution.
- Note: If you forget your password, please contact your school administration for a reset.
📚🏫 Subjects and Classes
Once logged in, the left menu contains your assigned "Subjects" and "Classes."
- Click Classes to see the list of classes you are responsible for.
- Click View to see the full student roster for each class.
👨🎓 Student List
In this tab, you can:
- Filter the list (by class, name, etc.) for quick searching.
- Message individuals by clicking the mail icon next to a student's name.
📖 Course Management
Courses appear automatically based on school assignments. In the Courses tab, clicking on a specific course gives you access to:
- Assignment Management: Create class assignments and grade them online.
- Educational Materials: Upload documents and resources for your students.
- Attendance: Mark and record student attendance in one click.
- Live Classes: Start a "Live" session for remote learning.
🎓 Evaluations & 🗒️ Report Cards
When the school creates an evaluation (e.g., Midterms), you can enter grades:
- Go to the Evaluations tab.
- Click Access on the relevant evaluation.
- Enter the student's grade and click Save.
📩 Request Management
To submit a request to the administration:
- Go to the Requests tab and click + New Request.
- Fill in the fields and Save. You will receive a notification once processed.
💬 Messaging
To message a student: Go to Messaging > + New Message > Select student > Write and Send.
✅ Attendance & History
In the Courses tab, the Check Attendance button allows you to take the roll for the day. Use the Attendance History tab to review previous records and track student diligence.
III - Student Guide
🔑 Login
Your institution will provide your username and password.
- Note: Contact administration if you lose your login details.
📖 Courses and Resources
In the Courses tab, click Open on a specific session to view:
- Learning Materials: Download documents (handouts, worksheets) uploaded by teachers.
- Class Assignments: Access instructions and upload your completed work for grading.
- Online Classes: Join live sessions via the "Live" link.
- Grades: Track your results as they are graded.
📩 Request Management
Need something from the administration? Go to the Requests tab, click + New Request, fill it out, and wait for a notification.
💬 Messaging
To talk to a teacher or classmate: Go to Messaging > + New Message > Select recipient > Write and Send.
👤 Profile
Update your password anytime in the Profile tab.
