Free school management software: what to check before choosing

Looking for free school management software? Good idea: trying before paying is the best way to choose. But “free” covers very different things: a downloaded Excel file, open source software you install yourself, or an online platform with a free plan. Here is how to compare them, and the traps to avoid.

The three kinds of free solutions

1. The “school management” Excel file

There are many free Excel templates for managing students, grades or payments. They help a very small school get by, but quickly show their limits: only one person can work on the file at a time, formulas break, nothing is shared with parents, and a lost USB stick means lost data.

2. Open source school management software

Open source software is free to download. On the other hand, you need a server and someone to install, update and back it up. For a school without an IT department, the hidden cost in time and contractors often exceeds the price of a subscription.

3. An online platform with a free plan

This is the simplest option: nothing to install, updates and backups are handled by the provider, and you can get started in minutes. You only need to check what the free plan includes.

6 questions to ask before choosing

  1. What is the limit of the free plan? Number of students, classes, trial length: know when you will have to pay.
  2. Are the essential features included? Grades and report cards, timetables, attendance, enrolment, payments.
  3. Do parents get access? A parent portal saves dozens of calls and visits.
  4. Where is your data, and is it backed up? Secure hosting and encrypted connections are a minimum.
  5. Can you import what you already have? Importing your student lists from an Excel file saves days of work.
  6. What happens as you grow? Pricing should be clear, with no option billed at every click.

What Zaame’s free plan offers

Zaame’s Basic plan is free, per academic year, for up to 39 students. It gives access to the online school management system and to support 7 days a week. In practice, you can:

  • create your classes, subjects and teachers, and import your students from an Excel file;
  • enter grades and publish online report cards with an authenticity QR code;
  • build timetables and track absences and late arrivals;
  • follow school fees, with online payment by card, PayPal or Mobile Money;
  • open a parent portal for grades, report cards and payments.

The free plan shows ads and does not include the virtual classroom or offline work. Beyond 39 students, the Essential plan covers up to 499 students for $149 per academic year. All plans are on the Pricing page.

Free does not mean second-rate

Good free school management software should let you do real work, not just watch a demo. Try it with a real class for a term: entering grades, publishing a report card, taking attendance, collecting a payment. You will then know whether it really saves you time.
